Wine Auction Assistant Manager (Regular/Full-time)

POSITION SUMMARY: 

Assist with the management of the High Museum Atlanta Wine Auction with specific areas of responsibility as listed below.

 

Work Schedule:

·       Monday – Friday, 9am – 5pm, with occasional weekend and evening work required as needed

·       Flexibility with hours and weekend work required

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

 

EVENT MANAGEMENT:

·       Manage wine auction events (in consultation with Manager of Wine Auction); specifically Kick-Off, Top Bidders Dinner, Dine Around Dinners, Winemaker Dinners, Seminars and Vintners’ Reception and all other events as needed

·       Create and manage all materials for Winemaker Dinners

·       Manage Special Guests of Honor, setting itinerary and logistics

·       Manage participation of all restaurants and chefs

·       Manage volunteers and staffing of events related to the Wine Auction

·       Maintain flexibility in hours as needed in accordance with preparation, implementation and wrap-up of event details

·       Management and fulfillment of photography distribution for pre and post event needs (printed pieces, PR, website, etc.)

           

PRINTED MATERIALS:

·       Coordinate production of all printed materials (including copy preparation and design) including invitations, posters, brochures, catalog, boutique items, etc.

 

MARKETING AND PUBLIC RELATIONS:

·       Coordinate with the museum’s PR department on publicity and marketing of the events (pre and post event coverage)

·       Manage the wine auction social media

 

DATABASE/WEBSITE MANAGEMENT:

·       Manage wine auction website and update website content

·       Manage maintenance of mailing lists including benefactors, invitations, donors, etc. in Tessitura database

 

DONATIONS SOLICITATION:

·       In conjunction with the Manager, assist with solicitations as needed

              

DONOR STEWARDSHIP:

·       Steward donor relationships, informing donors about event progress and working with donors to engage them in events on multiple levels

 

GENERAL:

·       Generate routine correspondence (solicitation letters, acknowledgements, committee updates)

·       Other duties as assigned

 

Qualifications:

Education and Experience:

·       Four-year college degree preferred.

·       At least two years of special events planning experience preferred.

·       Extensive social media experience preferred.

·       Knowledge of Microsoft Word, Outlook, Excel and PowerPoint required.

·       Knowledge of Tessitura or other fundraising software preferred.

 

Skills and Abilities:

·       Superior writing skills, strong organizational skills, creativity for planning special events and excellent telephone and presentation skills required.

·       Will work independently and with multiple assignments.

·       Ability to solve practical problems and prioritize needs in a variety of situations.
